A convincing application letter for a student visa

An application letter, also known as a letter of introduction is one that accompanies your application for a student visa and as the name implies, it is a way for you to introduce yourself to the consulate.

Not all embassies require a letter of introduction since the information they are requesting will be part of the package of forms you?ll be required to fill out, where you document your financial status, purpose, list the ties to your country, etc. However, a letter of introduction does as the name implies, introduces the student fully.

For the sake of those who would like to study abroad but are currently clueless, a student visa is a non-immigrant visa type issued to applicants whose primary purpose of visit to the country is the pursuit of education. You must first apply and be accepted by an institution of higher education that is recognized by the immigration department of that country before you will be able to proceed with the visa application. 

Studying abroad requires detailed planning to say the least. Students are advised to plan their application process keeping in mind university deadlines. Students are required to appear for English eligibility tests pertaining to the university policy and also have required documents in place for the smooth processing of their application. Hence, students are always advised to apply 3-4 months in advance to avoid any last-minute rush. Candidates seeking financial aid, scholarships and education loans should add another couple of extra months to the process as these applications take more time. 

A word processing program should be used in writing the letter of application, under no circumstances should you write your letter by hand. The letter should be formatted in block style, meaning that all information should be justified to the left, with no paragraph indents. 

Your full name, mailing address, date, name of embassy official, their title, embassy, passport number, passport expiration date, notary public information are all details that should be justified to the left when writing your letter of application.

When composing your application letter to the embassy, it is important that it is formatted properly as stated above, written in a professional tone, and be as short as possible. The more complete your application letter, the better your chances of obtaining a student visa. In order to do this, you must convince the consulate of several factors;

  • Evidence of a permanent residence in the country of origin.
  • You have the financial resources to cover your stay for as long as you intend to stay.
  • You are an actual student, who will be attending a university or college in the country of choice.
  • Once your studies are complete, you will be returning to your country of origin and will do so before your visa expires.
  • Evidence of professional and family ties in your country. This includes bank account information, family, real estate and other assets, or job offer for when you return.

Highlighted above are things that should be included in your application letter. Below is a more detailed content you should include in the main body of your letter.

  • College or University Acceptance - You should state if your application has been approved by the school of your choice, as this is the first and most important thing that makes you eligible for a student visa application. Also, alert the consulate that you have attached documents to your letter
  • Introduction - Another name for the letter of application for a student visa is a letter of introduction. As such, it is very important that you introduce yourself in a very detailed and adequate manner. List any work experience you have in the field, and attach a letter from your employer.
  • Purpose - Here, you would be expected to state the purpose for attending school. For example, career change, advancement in your career, updating professional skills. You should be able to demonstrate your knowledge of the current opportunities available for your profession and as well state how the education will benefit you in establishing a career in your country of origin.
  • Purpose in choosing this particular school - Your letter should state why you chose the college or university you did, what the school will offer you, if applicable, list major companies that have hired students from the school and include any additional benefits the school of choice offers you.
  • Financial Information - In your letter of application, list any fees paid to the institution and attach copies of documentation such as receipts to the letter. List health coverage if applicable. State that you have already arranged for suitable housing near the school. Include the address of housing, landlord name, and contact information. If applicable, state that you have paid the landlord any fees required. Attach copies of any documents, including receipts for any housing fees.
  • Funds Available - State you have ample funds to allow you to study during your time in school. List funds, amounts and bank statements, bank name, address and contact information
  • Assurance of Returning - Assure the consulate of your desire to return to your country of origin and establish yourself in your new career. List your strong ties to your country of origin: Names and photos of family members. Attach birth certificates/marriage certificate copies as evidence that these are indeed your family members. If applicable, name any company which has already agreed to hire you upon return. Contact person, name of business and contact information
  • Conclusion - Your conclusion should state your gratitude that the consulate has taken the time to review your application. State that you believe the information is complete and up to date, but if they have any further questions to contact you directly at any time. Supply your contact information.

Keep your application letter career orientated, stating how an education at the college/university of choice will enhance your chances of creating the best career possible for yourself in the country of origin. If possible, after you complete your letter and have attached your forms, have your letter notarized by a notary public. Having it notarized means that your letter has been certified to contain authentic information, that you are who you say you are, and that all documents you will provide are legitimate.

Remember to apply for a student visa well in advance of the start of your scheduled term, in case any unforeseen issues come up. Finally, if you have not heard from the Embassy, please feel free to send a follow-up letter, inquiring about the status of your application.
